Procurement Specialist

Job responsibilities

  • Procurement Operations and Support:
    • Operate the ERP system efficiently to support procurement activities.
    • Provide timely administrative support to the procurement team.
    • Handle procurement of administrative and general supplies, as well as minor purchases as needed.
  • Supplier Management:
    • Gather data and supplier information for manual and online registration via Coupa and onboarding in SAP Hana.
    • Maintain accurate and up-to-date supplier databases.
  • Purchase Management:
    • Conduct bidding and purchasing processes for approved Purchase Requests from various departments (HR, CSR, IT, etc.).
    • Source and negotiate with vendors to secure optimal price and quality.
    • Create purchase orders and manage order fulfillment.
  • Financial Support:
    • Assist the Accounting and Finance team with updates to G/L account numbers during payment processing.
  • System Support:
    • Act as the first point of contact (L1) for user complaints related to Coupa, ePR, and SAP Hana in the procurement context.
    • Collaborate with IT and suppliers to resolve system issues.
  • Reporting and Analysis:
    • Prepare Procurement spend analysis and other reports as required by management.
    • Maintain accurate records of all procurement documents.
  • Compliance and Risk Management:
    • Ensure proper adherence to SCOC, RPT, and HRT guidelines for all suppliers.
    • Track and update compliance status for all vendors.
  • Vendor Onboarding and Assessment:
    • Manage the TPDD assessment process through both manual and online means (Coupa).
    • Support requestors in preparing BAMS for GDSC approval before vendor selection.
  • Process Improvement and Localization:
    • Collaborate with Compliance and Risk Management to localize procurement processes.
    • Support vendors with TPDD assessments and information requests on Coupa.
    • Develop and implement strategies for full TPDD and Enhanced Due Diligence for localized applications.
  • Conflict of Interest Management:
    • Conduct background checks on suppliers and identify ownership details to prevent conflicts of interest.
  • Additional Tasks:
    • Perform administrative tasks and other duties as assigned.

Job requirements

Education:

  • Bachelor' degree in Management, Law, English Literature, Accounting, International Trade, or Logistics preferred.
  • Additional education in Management or Procurement, particularly in the telecommunications industry, is a strong advantage.

Procurement Experience:

  • Minimum of 3 years of procurement or supply chain management experience, especially in risk and compliance, utilizing various systems.
  • Proven negotiation skills, including the ability to develop tenders, procurement policies, evaluation models, pricing structures, and flexible approaches to successful procurement.

Software Skills:

  • Proficiency in developing standard operating procedures (SOPs).
  • Understanding of international company policies and guidelines.
  • Experience with SAP or other enterprise resource planning (ERP) systems is preferred.
