Job Overview:

The Facilities & Office Services Officer is responsible for supporting the daily operations of offices and Smart Shops, ensuring that all facilities are clean, safe, and well-maintained.

Job Responsibilities:
  • Manage office cleaning and ensure all areas are always neat and tidy.
  • Assist in monitoring office security, including guards, fire alarm systems, fire extinguishers, and CCTV.
  • Supervise cleaners and security staff at all Smart Shops.
  • Ensure cleaners and security personnel follow company guidelines.
  • Manage cleaning supplies and amenities for offices and shops.
  • Manage inventory and stock of office essentials such as stationery, toner, and beverages.
  • Support the manager/supervisor and other departments with facility-related needs.
  • Assist in tracking and maintaining office furniture assets.
Job Requirements:

Education & Qualifications:

  • High school graduate or holder of a bachelor’s degree in a related field
  • Honest, loyal, and responsible
  • Possesses a valid car or motorcycle driving license
  • Able to work effectively in a team

Work Experience:

  • Minimum 1 year of experience in office administration
  • Experience in repairing office equipment, furniture, or lighting is an advantage

Skills:

  • Basic English communication skills

Work Relationships:

  • External: Maintain a professional attitude and uphold company core values in all external interactions.
  • Internal: Build and maintain effective teamwork and communication with all departments.

Key Challenges:

  • Ensuring consistent cleanliness and maintenance across multiple office and shop locations
  • Coordinating with various vendors and internal departments efficiently
